Dining Services
Our dining hall has space for up to 80-90 people with a maximum of 100 for receptions. Our exceptional food service staff provides meals and snacks that can accommodate a variety of dietary needs upon request (such as gluten-free, vegetarian, vegan, etc). Meals are served at 8am, 12pm, and 5pm buffet style.


Conference Rooms
The indoor conference area consists of two large flexible indoor spaces and two smaller rooms. Per request, they are equipped with a sound system, video and overhead projection equipment, piano (gathering room), and podiums. Seasonal outdoor meeting spaces includes a pavilion, large tent, campfire circles, and the Spring.

Poplar Village Cabins
6 Cabins accommodating 10-12 people each in bunk beds (up to 72 people). Each cabin has a restroom, shower, bunk beds, and a ceiling fan. Two of the cabins are handicap accessible.
The 7th cabin is our Staff Cabin which has a common room with a fridge and microwave with two separate rooms with a bathroom in each sleeping 5 people on each side. Must bring your own linens & towels.

- C&O Canal National Historic Park – Running for 184.5 miles along the Potomac River, the C&O Canal is adjacent to our property. Scenic points along the way include Dam #4, which is about 2 miles down to the towpath from our property.

Typical Weekend Retreat
Friday through Sunday
Check-in at 4 pm
Check-out at 10 am
(can use meeting space until 2pm)
15 person minimum for overnight retreats in off season.
25 person minimum for overnight retreats in peak season.

All overnight stays in the Lodge includes 5 meals, one conference room, towels & linens.

Overnight Cabin retreats include one meal per nights stayed (upgrade to all 5 meals available), and use of the pavilion.

Step-One: Secure Your Booking
After a date is decided and details are sorted out, the Retreat Manager will email a Facility Agreement which will have your booking information and our policies & procedures. Please review the agreement document to ensure all information is accurate. Then you must sign and return it along with a 20% non-refundable deposit to secure your reservation. You will then receive confirmation of your program reservation.

Step-Two: Thirty Days Before the Retreat
Approximately 30 days before your retreat, you will receive a retreat questionnaire that will collect information such as final headcounts, dietary requirements, room assignments and meeting space set-up. This document along with the proof of liability insurance document are due 2 weeks prior to your retreat start date.

Step-Three: Final Counts & Balance
Once final counts are turned in, your invoice will be adjusted to the final count and you will be sent a final invoice. You can choose to send final payment before your retreat or pay the balance upon arrival. You may pay using check, cash, or credit card.

Step-Four: Arrival Day
A designated group leader will need to arrive prior to retreat attendees and go over meeting space set-up, room assignments, dietary information, equipment rental as well as policies and procedures. Once everything is set enjoy your retreat and don’t forget to reserve your dates for next year!
